Encrypting Files in Microsoft® Word and Excel

Never send confidential or sensitive data in the body of an email message. If you need to send confidential sensitive data, attach it in an encrypted file with a strong password and put “Private and confidential – not for disclosure” in the subject line. You are advised to read the University policy on electronic communications.

Encrypting a file

  1. Click on the File tab and select Info in the left pane.
  2. Click on Protect Document and select Encrypt with Password.
  3. Type in a strong password and click on Ok.
  4. When prompted retype the password and click on Ok.

Sending the password

Do not send the password in the same message as the encrypted file. Send it in a separate message or by another means e.g. phone.
