Postal Service: Service Level Agreements

External Mail

Service Provision from Estates & Facilities Department - Twice Daily

  • Provide a central university collection point & counter service for all departments' mailing requirements.
  • Collect and deliver to/from one point in each building where there is not already a post room.

Responsibilities of Users

  • All outgoing external mail to be received by the Post Room no later than 3.30pm.
  • All Departments to clearly address all items and stamp with individual departmental charge code
    Please note separate service for large mail outs.
  • All perishable and/or fragile items to be clearly marked.
  • Where there is a particular need to ensure items delivered by particular date (eg tenders, funding bids etc) then please bring to the counter (at any of the three campuses)in person or ensure that the member of post room staff collecting from your building/department collection point is made aware of this verbally.
  • Users to cancel subscriptions to journals or magazines, and return to sender any unwanted unsolicited items with instructions to remove them from mailing list.

Internal Mail 

Service Provision from Estates & Facilities Department - Twice Daily

  • Provide a central university collection point & counter service for all departments' mailing requirements.
  • Collect and deliver to/from one point in each building where there is not already a post room.

Responsibilities of Users

  • All mail to be received by the Post Room no later than 3.30pm.
  • All mail to be clearly addressed with name and department (note School is not enough in itself).

Parcels (Outgoing)

Service Provision from Estates & Facilities Department - Daily

  • DHL service for European (delivery next working day) and Rest of the World (delivery 2 to 3 working days later) destinations.
  • Parcelforce for UK destinations, deliver next day 10am 12 noon 24 hrs and 48 hours.

Responsibilities of Users

  • Parcels not to exceed 30Kg weight.
  • For parcels in excess of 30kg please contact post room so that special arrangements can be made.

Hazardous or Perishable Goods

Service Provision from Estates & Facilities Department

  • Holding service for outgoing parcels awaiting collection by courier. Collection and distribution of incoming hazardous/perishable goods parcels.

Responsibilities of Users

  • Outgoing: Sender to package item as necessary. All paperwork for courier to be completed by sender and left with Post Room. Arrange courier collection and advise expected time/s for collection.
  • Incoming: Parcels should be clearly marked as urgent perishable/hazardous in order to ensure speedy distribution if this is essential otherwise it will be treated as a normal incoming parcel. Items must be clearly addressed to an individual/department and room location where they need to be delivered.

Large Mail Outs

Service Provision from Estates & Facilities Department

  • Provide advice and support for large mail-outs and priority services.
  • Provide Departments with pre-printed labels (1st or 2nd Class) to enable Post room to process via on-line Royal Mail business account.
  • Where mailing houses are the best option, we will help with advice and transport if booked in advance.

Responsibilities of Users

  • Provide at least a week's notice giving details of quantities.
  • Discuss with Post Room Manager before mail out is prepared/packaged.
  • Label envelopes with labels issued by the post room.

Receipt and Distribution of Incoming Parcels

Service Provision from Estates & Facilities Department - Daily

  • Receive and sign for individual parcels (below 25kg and 1m3) from Royal Mail/ other courier companies addressed to the University post code.
  • Distribute them to end point and obtain signature on hand held device.

Responsibilities of Users

  • Users to ensure wherever possible that parcels are clearly addressed.
  • Only work related parcels will be handled by the post room (Post Room Manager will make a decision on this). Due to the limited capacity of the post room we reserve the right to refuse delivery of items that are clearly personal and not work related.
  • Large parcels (over 25kg or bigger than 1m3) should be addressed directly to the building in question and delivery/receipt arranged with carrier direct to final destination.
